Dokter Bosman was founded in 2008 with the aim of radically improving mental health care. Today the company has 25 branches across The Netherlands, employs 360 staff and treats more than 6,000 patients every year.

Challenge

When Google announced it would no longer support its wireless cloud printing service, Dokter Bosman needed to find an alternative solution to enable seamless printing.

“The deprecation of Google Cloud Print was a driver for change, but we also wanted a cloud printing solution that provided additional capabilities. Google Cloud Print was extremely basic, it enabled printing full stop. We were looking for something with more functionality, and most importantly, a solution that would enable us to apply secure print release,”

Thomas van Hout, ICT Manager at Dokter Bosman, explained.

With a small IT team, the new cloud printing solution also had to be easy to manage and easy to use. “We have over 360 end-users and there are just two people in IT, so we needed something that was reliable, easy to use and intuitive,” he added.

Solution

directprint.io is a vendor-agnostic print management software-as-a-service solution that allows IT admins to deploy, secure, control, and track print activity across their organization. Results

Ease of use

According to Thomas, the main advantage of directprint.io is that it just works. It’s simple, and it’s easy to manage,” he said.

“Adding devices takes no effort because there’s nothing needed locally on the printer. Google Workspace integration means that if end-users are created, moved or deleted, the platform automatically reconfigures their printer access, and single sign-on provides seamless access to the printers they need.”

Secure data

Google Workspace integration was top of the priority list for Dokter Bosman. “Our end-users all use Chromeboxes and Chromebooks. As a healthcare provider, our patients’ information is confidential. We have a legal agreement with Google, and they can’t access our data, and so every external service provider we engage with must have that tight Google integration, to ensure our information remains secure,” Thomas said.

The ability to enable secure pin release on printers to protect confidential information was a key criterion and a solution that has been well received. Thomas said: “Before we had a policy that every printer needed to be in a non-public space, so either in an office or behind closed doors, so that uncollected print-outs lying on paper trays weren’t left out in the open. We have now relocated the printers to more central locations, which is much more convenient for our end-users.”

Secure pin release has also reduced waste.

“Each office purchases their own supplies so I can’t put an exact number on the savings, but as an example, we used to have a large bin by the printers that was always overflowing with orphan prints, that’s gone now,” he added.

Policy management

For Dokter Bosman, one of the big advantages has been having the ability to set print policies. “directprint.io has enabled us to set mono print-outs as the default, and to force printing in duplex, which has really saved on paper waste,” Thomas said.

directprint.io’s comprehensive admin control panel provides the IT team with full visibility and control over all sites. Thomas admits that he doesn’t use all the admin functions as much as he could. “We used it more in the beginning because we wanted to see how much people were printing. Now, we use it mainly to track prints that are reported missing, to monitor and manage potential issues, and to deal with end-user queries,” he said.

QuickCodes

IT admins can deploy printers to users with directprint.io QuickCodes. Dokter Bosman has created a public document with all the QuickCodes for all its printers, enabling end-users to gain access to any printer at any location.

“We really love the QuickCodes system, that’s a big advantage for us,” Thomas said. “Printer access is set via OUs and each user is allocated to one OU. Often our end-users travel from site to site and if they’re in a different location, they don’t automatically have access to the printers. They can either look up the QuickCode for the printer, or we can send it to them with a link to a YouTube video tutorial, to enable access.”
